Privacy policy.

Betterfit is a tech talent placement company based in Quebec City, Quebec, Canada. This policy explains what personal information we collect on betterfit.ca and in our client and talent tools, why we collect it, who processes it, how long we keep it, and the rights you have over it.

The person responsible for protecting personal information at Betterfit is Ramzi Benounis. For any privacy question or request, write to privacy@betterfit.ca. We respond within 30 days.

We only collect what you give us and the minimum needed to run the site safely:

• Contact and estimate requests: your name, work email, company, phone number if you provide it, and the answers you give in our forms (for example the roles, seniority, city, and team size you are hiring for).
• Developer applications: your name, email, resume, and the professional profile information you share with us.
• Referrals: the name and contact details of the person referred and of the person making the referral.
• Security data: a one-way hashed version of your IP address, used only to prevent abuse of our forms. We do not store your actual IP address.
• Analytics cookies, only if you accept them in the cookie banner. Declining never limits your use of the site.

• To respond to your request and prepare your estimate.
• To follow up about our services for a limited time after you contact us. You can opt out of these emails at any time with one click.
• To evaluate developer applications and manage placements.
• To keep the site secure and understand how it is used.

We never sell personal information, and we never use it for anything unrelated to placing great engineers with great companies.

We use AI systems for four things: preparing the written estimate breakdown you request, helping us prioritize which inquiries to respond to first, pre-filling developer profiles from resumes, and, for developers we invite, conducting an AI-assisted screening conversation that a human then reads. In every case a human at Betterfit reviews the result. No decision about you is ever made by an AI system alone, and AI never changes what you receive from us or what you pay.

We use a small number of service providers to run Betterfit. They process data on our instructions, under contracts that protect it, and most of them store it on servers outside Quebec, mainly in the United States:

• Vercel (website hosting)
• Supabase (secure database)
• Resend (sending our emails)
• Anthropic, via Vercel AI Gateway (AI processing)
• Cal.com (call scheduling)
• Google Analytics (site usage, only with your consent)

If you apply to a role we are hiring for on behalf of a client, that company is not one of the service providers above. They are a separate organization, and what they see about you works like this:

• Nothing reaches them until a person at Betterfit has read your application and decided to put you forward. That is a human decision, written down, every time.
• Once we do, they see your professional profile, a short note we write about why you fit, and a summary of your screening conversation. They never see the full transcript, and they never see what we wrote about you internally.
• Your name, photo and links are shown only if you agreed to that. Without your agreement they see the same profile with no name and no contact details.
• If you are invited to an interview, we tell you the company, who will be on the call, and that it is recorded and transcribed, before you book anything. You can say no. We keep the recording, and we give the company a copy only if they ask for one.

If another company we are hiring for has a role you suit, we may put you forward for that one as well. Everything above still applies: a person at Betterfit decides first, and your name is shown only if you agreed to that. We never publish the client's name on a job posting.

• Inquiries and estimate requests: deleted after 24 months without activity.
• Applications we do not move forward with: resume and profile deleted after 12 months.
• Screening conversation transcripts: deleted after 12 months.
• The record of a role you applied to, or one we put you forward for, and where it got to: deleted after 12 months without activity.
• Interview recordings and transcripts: deleted after 12 months.
• Placement check-in responses: deleted after 24 months.
• Business outreach contacts: deleted after 6 to 12 months without contact.

Information tied to an active client or placed developer is kept for as long as the relationship lasts and as required by law.

You can ask us at any time to see the personal information we hold about you, correct it, withdraw a consent you gave, or delete it. Write to privacy@betterfit.ca and we will answer within 30 days. You can also complain to the Commission d'accès à l'information du Québec if you believe we have not respected your rights.

The only non-essential cookies we use are Google Analytics cookies, and they are off until you accept them in the banner. Your choice is remembered on this device. Change my cookie choice
